--- name: hermios-inbox description: Use when the user wants to turn Gmail, Outlook, or calendar activity into Hermios CRM activity, such as logging email threads or meetings to contacts and deals, creating contacts from email senders, drafting follow-up emails from CRM context, or preparing for a meeting with CRM history. --- # When To Use - "log my latest customer emails into Hermios" - "who emailed me this week that isn't in the CRM yet" - "draft a follow-up to Jane about the Acme proposal" - "prep me for my 2pm call" / "what's the history with Globex before tomorrow's meeting" - "log today's meetings against the right deals" For CRM changes that do not involve email or calendar, use `$hermios-crm`. # Steps 1. Read `../../references/gmail-and-calendar.md` and `../../references/safety.md`. 2. Get the source activity: - Inbox or upcoming meetings: the Codex Gmail, Outlook, or Google Calendar connector when connected. Otherwise Hermios `messageThread`, `message`, and `calendarEvent` records. - History for a person or company: Hermios synced records first. 3. Match participants to Hermios records using the matching steps in `gmail-and-calendar.md`. 4. Make the CRM changes the user asked for (new contacts, notes to log, tasks to create, deal updates) with `$hermios-crm` conventions, then report them as one table with record links. If more than 5 records would change, show the table first and wait for a yes. 5. Never send or forward email as part of logging. Sending always needs its own explicit yes. # Follow-Up Emails - If the user wants a guided brief, call `draft_hermios_follow_up({})` directly. The native form returns user-provided drafting inputs; nothing is saved or sent. Do not retry a declined form automatically. Use conversation inputs if the client cannot show it. - Build the draft from CRM context: the deal stage, the last note, open tasks, and the latest thread. - Create a draft (Gmail connector draft, or Hermios `draft_email`). Show it in full. - Send only after an explicit yes, and log the sent email as a note on the deal. # Meeting Prep For each meeting: attendees matched to people and companies, the open deal with stage and amount, the last 3 interactions, open tasks, and 2-3 suggested talking points. Keep it to one screen per meeting.
