# Use Group similar items

Use AI to group similar records in a list based on their short descriptions and generate a group summary.

## Before you begin

**Important:** Check your entitlements to determine whether you have access to the Group similar items feature. Discuss licensing with your ServiceNow® account representative for information specific to your contract.

Role required: workspace\_user

## About this task

-   **Group similar items**

    Use AI to group similar records based on their short descriptions.

-   **Summarize group**

    Create an AI-generated summary for a group based on record details.

-   **Post group summary to work notes**

    Post the AI-generated group summary as a work note to selected records.

-   **Ungroup items**

    Remove the groups of similar records.


## Procedure

1.  Navigate to a workspace list in your instance.

2.  From the list header, select **Group similar items** \(\[Omitted image "image.list-group-similar-items"\] Alt text: Group similar items button\).

    AI-generated groups of similar records are created.

3.  Select the More Actions icon \(\[Omitted image "image.list-group-similar-icon"\] Alt text:\) for a group and **Summarize group**.

4.  Select **Refine** and select either **Elaborate** or **Shorten** to refine the summary to fit your preferences.

5.  Post the summary as work notes.

    1.  Select **Post as work notes**.

    2.  Review the summary for accuracy and make any necessary edits.

    3.  Select **Next**.

    4.  Select records from the list to post the work note to.

    5.  Select **Post**.

6.  From the list header, select **Ungroup items** \(\[Omitted image "image.list-ungroup-items"\] Alt text: Ungroup items buttons\) to remove the AI-generated groups.
