# Summarize a procurement record in Source-to-Pay Workspace

Get a quick overview of a procurement record's status, completed actions, and next steps, without reading through all the details. ServiceNow Otto for SPO generates a focused summary in seconds.

## Before you begin

Role required: sn\_spend\_gen\_ai.now\_assist\_fulfiller

## About this task

The summary appears in different places depending on which interface you're using:

-   Core UI: The summary appears in a banner at the top of the record.
-   Source-to-Pay Workspace: The summary appears in the **Details** tab.

-   **What the summary includes**

    Based on the type of procurement record, ServiceNow Otto for SPO generates a summary with the following sections:

    -   **Overview**: Information about the record.
    -   **Actions completed**: Actions that have been taken so far.
    -   **Next steps**: Actions you need to do next for open cases. For purchase requisitions and procurement cases, if the record has associated email records, this also factors in the sender, date, and key message from those emails \(excluding standard state-change notifications\).
    -   **Close notes**: Complete resolution summary for closed procurement cases.

## Procedure

1.  Navigate to **Source-to-Pay Workspace**.

2.  Select the list icon \(\[Omitted image "cases-list-icon.png"\] Alt text: List icon.\).

3.  Do one of the following:

To generate a summary for the following procurement records:-   Negotiation
-   Procurement case
-   Procurement task
-   Purchase requisition
-   Sourcing event
-   Sourcing request
-   Sourcing task

1.  Navigate to **Lists** &gt; **All work**.
2.  Select the type of record you want to summarize:
    -   Cases
    -   Negotiations
    -   Requisitions
    -   Sourcing events
    -   Sourcing requests
3.  Select the record number in the **Number** column to open it.

</table>4.  Navigate to the **Details** tab.

5.  In the **Record summary** section, select **Summarize**.\[Omitted image "otto-spo-summarize-record.png"\] Alt text: Record summary in Source-to-Pay Workspace.

    ServiceNow Otto for SPO begins generating your summary. This typically takes a few seconds. The summary will appear on screen once complete.

6.  Review the summary details.

7.  After ServiceNow Otto for SPO generates the summary, you can add it to the work notes, expand or collapse it, provide feedback, copy it, or view information about it.

**Save the summary information by adding it to the record work notes**

1.  Select **Share**.
2.  In the **Share to work notes** dialog box, edit the summary if needed.
3.  Select **Save to work notes**.

**Expand or collapse the summary**

**Provide feedback for the summary**

If you think that the summary was helpful, select the helpful icon \(\[Omitted image "icon-helpful.png"\] Alt text: Helpful icon.\). If you think that the summary wasn’t helpful, select the not helpful icon \(\[Omitted image "icon-not-helpful.png"\] Alt text: Not helpful icon.\).This feedback improves the generative AI model and can help to improve the future versions of this skill.

**Copy the record summary**
