Preparations for setting up integration between S/4HANA Private Cloud and Concur

The standard SAP Integration with Concur Solutions (SAP ICS) makes it really easy to quickly setup and configure an integration between your S/4HANA Private Cloud system and SAP Concur. Our Concur Service Delivery team have helped many clients in getting this setup, but there are certain issues we often see clients run into. Fortunately, there are a few easy checks and guidelines you can follow to avoid them.

The purpose of this article is to give a quick and simple overview of the guidelines to ensure you are best prepared for a smooth integration.

Integration:

For integration with S/4HANA Private Cloud version 2020 and higher, it is crucial that you select the documentation on the SAP Help Portal according to the version you are using (see screenshot below).

Starting from SAP S/4HANA 2020, your system will automatically receive the latest software version, as the integration function is delivered as a core feature and no longer as an add-on.

Authorizations and AuthProfiles should be assigned according to the Master Guide (again make sure you’ve selected your version).

Further information about your version can be found in SAP Note 2976103 .

Importing Certificates:

Unlock the firewall and import the certificates in STRUST under SSL Client Standard.

Tax functions within organizations have traditionally faced challenges like overwhelming regulations, repetitive processes, and frequent legislative updates. Today, AI is helping these teams simplify workflows, boost compliance, minimize errors, and generate insights quickly and accurately.

Here are a few practical ways AI is being used in the tax domain:

For instance, SAP Concur, in collaboration with AI companies like Bluedot, uses machine learning to automate VAT recovery on business travel expenses, a task that used to be manual and error-prone. Similarly, platforms like Vertex and Thomson Reuters OneSource are leveraging AI to apply tax rules accurately, organize tax data, categorize products and GL accounts, manage certificates, and maintain global tax compliance effortlessly.

Governments are also embracing AI to enhance public tax services and enforcement efforts:

AI-powered chatbots are helping taxpayers complete returns, get guidance, and understand forms in multiple languages.
Fraud detection tools powered by AI can analyze behavioral patterns and catch irregularities in filings that might signal tax evasion, something human auditors could miss.
Countries including Singapore, South Korea, France, and the UK are already using AI in areas like document processing, risk assessment, and taxpayer support.

However, integrating AI into tax operations does come with challenges:

Data security: Since tax data is highly sensitive, AI systems must meet strict privacy standards.
Bias and fairness: AI decisions are only as good as the data they’re trained on. Flawed or biased inputs can lead to inaccurate results.
Lack of transparency: Some AI systems work in a “black box” manner, making decisions without easily explainable logic, which raises accountability concerns.
Skills gap: As AI becomes a core part of tax operations, tax professionals need upskilling in technology and data to make the most of these tools.

Despite these challenges, the benefits of AI in tax are substantial. It’s not just about doing the same work faster. It’s about transforming how tax functions operate and contribute to business success. With AI, tax teams can:

Reflections from Fusion Exchange EMEA 2025: SAP Integration in Action

On June 12th, I had the pleasure of attending Fusion Exchange EMEA in London, a one-day complimentary event designed to foster knowledge exchange among professionals managing travel, expense, and invoice processes. The event brought together SAP Concur experts, partners, and customers to explore the latest industry trends and value-adding solutions that help organizations maximize their SAP Concur investments.

Representing SAP Integration with Concur Solutions (ICS)

Together with my colleague Ryma Brahimi, I hosted the SAP Integration with Concur Solutions (ICS) booth. ICS is our area of expertise, and throughout the day we engaged with over 35 visitors—both prospective and existing customers. We fielded a wide range of questions, from setup and posting to fulfilling specific business requirements. It was a rewarding experience to connect directly with users and share insights into how ICS supports seamless financial integration.

SAP Concur Keynote: A Vision for the Future

Although booth duties kept me busy, I made time to attend the SAP Concur keynote at 09:15. The session was truly inspiring. In my day-to-day work, I rarely get to see the “other side” of our solutions in action, and this keynote reminded me of the scale and significance of our work. Despite a packed schedule, I managed to attend two breakout sessions:

This session showcased tools like Concur Request, ExpenseIT on the Web, and integrations with Microsoft Teams and Outlook. The highlight for me—and likely many others—was the focus on AI at every step of the process. The presentation emphasized how AI is driving intelligent, front-loaded user experiences that optimize both compliance and usability. The pace of innovation in our industry is accelerating faster than I had imagined.

2. Revolutionizing Compliance Through Innovation and Technology

As someone with nearly 30 years in the financial software industry, compliance is a topic close to my heart. I’ve seen it evolve from an afterthought to a strategic priority. This session explored how AI can enhance spend compliance and usability through features like instant trip estimation, receipt capture, and automated hotel itemization. One slide noted a 93% reduction in approval time for rejected expense reports due to hotel itemization automation—a statistic that genuinely made me smile.

Things to consider during Concur Implementations

So how are you great people!! Today I thought of a scenario which we have successfully implemented for our clients which is not so difficult but if not designed properly can be a mess. We have all come across different scenarios while doing our Concur Implementations, from straightforward implementation to complex ones involving multiple integrations. In this blog I will like to explain one such scenario where we are bringing a new company into the existing Concur Instance. They will be roommates and will have their own individual policies and standards.

Introduction to the use case

So here's how it goes, there is a Company A which is using a Global Concur Instance for all its companies throughout the world. Now Company B which is basically a sister company having its own Concur instance decides to come into the existing Global Instance of Company A. Now the thing we have to remember here is, even though these are sister companies, they don't share any system with each other from HR system to ERP its all different. So this where the complexity lies in and where we need to put on our design cap and think before we start.

Steps to Follow:

Step 1: Custom Fields Audit:

Before we dive into the Requirement gathering phase, we have to do one audit of our existing instance which company A is using. We need to check how many custom fields are available, how many org fields are available, how many fields with the required data types are available and all that. Trust me this is the most difficult part of it all, there will be multiple places where we need to share the custom fields between the two instances.

Step 2: Primary Requirements:

Let start from the basics of the things that we need information about for this Company B. So your ORG structure is the most important stuff based on which you will get to know the countries in scope and how many levels of connected list you need to design. Since our Company A is using Org unit 1 to 3, we advised to have the org structure limited to the same 3 level format so that we can use Org unit 4 to 6 for country, Company and cost centers. One thing we need to communicate in the beginning to stake holders from Company B is we cannot use the authorized approver workflow as in feature Hierarchy, only one set of org units can be used for workflow.

If you see below, the feature hierarchy can contain only one set of custom fields for authorized approver workflow, so it is important to communicate this at the start.

Please see the below screenshot where we have defined the connected list logic for the two companies using different set of custom fields.

We need to set up by creating the accounting hierarchy and create a new ledger if they are planning to use a different ERP system.

Below you will see the accounting hierarchy set up for various companies based on their ledger preferences.

So once we get all the requirements locked, we will start as usual by creating groups, policy, forms and all the primary and secondary configurations as usual. The main thing to keep in mind during configuration of forms and fields is to make sure we are not disturbing the existing fields used for company A.

Important Considerations:

Another thing to keep in mind is during the Tax Configuration, this might be an issue if there a country in scope for Company B is already available in the system for Company A. The problem we might encounter is for example consider a country say Australia. For Company A, Airfare expense is configured to have a tax form with 3 tax rates, and for Company B same expense type has a standard tax rate for 10%. So what will happen in this case is even if try to exclude the company A while configuring the tax for Company B, since Tax is a country-based configuration, the tax form which is configured for Company A will be visible for Company B too even though it is not supposed to be.

Below you will see the screenshot where a single country can be configured with different reclaim codes based on their ERP .

So, the only solution to this is to create new expense types whenever there are countries we are bringing into the system which are already available in the instance.

Step 3: Integrations:

Once this is all done and all the other configurations completed, we need to work with the HR system for the company B for the integration. We need to provide all the required custom fields to the HR system's technical team so that mapping is completed and we get the daily import of 305 and 350 data.

Here in the below screenshot, you can see how the Employee load with the 305 and 350 files are sent over to concur from two different HR systems, one is UKG and the other is Workday based on the respective HR systems the individual company uses.

Similar way the payment extract job needs to be setup for which we need to raise a ticket with Concur and provide all the group names for the company B which we have configured. While this is happening, we need to connect with the ERP team to map our SAE extract by providing the list of custom fields which are to be mapped in the ERP system.

Now we need to do multiple rounds of testing for company B, so that we make sure all the account codes, workflow, audit rules are working well and also need to test the posting into the ERP system. Also don't forget to do a round of regression testing for the Company A.

Conclusion:

By doing the above steps , we can bring in any new company into our existing instance even though they are supposed to follow a completely different set of configurations similar to Roommates, will share the same instance but they have different set of things for each other.

SAP Integration with Concur Solutions: Default Configuration

SAP Integration with Concur Solutions (a.k.a. ICS, a.k.a. Native Integration) has been enhanced to simplify its setup. The enhancements are applicable for SAP S/4HANA Public Cloud, for SAP S/4HANA Private Cloud 2025, and for S/4HANA 2025. In this blog post, I will explain the changes.

The ICS team has been propagating a Best Practice configuration for a long time. This Best Practice configuration was already indicated in the different wizards, e.g., when setting up the export of the first cost object type, a 4-level cost object hierarchy is defaulted. We've changed the configuration approach slightly: When you complete the System Connection wizard for the first time, a default configuration is set up for the integration activities you've selected for your system. So, in an ideal case, you don't have to go into the different wizards to set up a configuration. Connection set up and ICS configuration can be finished within 2 min.

There is no defaulting for

Budget Integration (Travel Request, Expense Report Obligation)
Note: This option is only visible only in a system where Public Sector functionality has been activated.
Invoice Integration (Vendor, Invoice)
Note: This option is not offered for the SAP S/4HANA Public Cloud.

How does the default configuration look?

I won't go into the details of every single wizard. But I want to give you an idea how the configuration looks.

Applicable for all integration activities

For the set up, we distinguish between a productive system and a non-productive system. For productive systems, batch jobs are scheduled for replication of master data and import of transactional data. For non-productive systems, manual export/import will be configured.

Applicable for cost object replication

Cost object replication is set up for Export Without Restrictions. Phased Roll-Out isn't active.
A name analysis of the available Concur lists is done to determine which list might be intended to store the cost objects. Setting up a list in Concur named SAP Integration Hierarchy or CostObjects for storing the cost objects is recommended.
The cost object hierarchy is set up with 4 levels: Logical System, Company Code, Cost Object Type, and Cost Object ID.

Applicable for the import of transactional data

Filtering of documents is set up to happen on the employee fields.
An analysis is done on the Concur field names to determine the filtering.
Journal Entry Type is set to ER (Manual Expense Travel).
Posting Date is set to Today and recalculation of the posting date is enabled.

Applicable for the import of expense reports

The Report Number will be picked for creating the reference key.
Clearing by XREF fields is defaulted.
Payment Notification is set to active.
An analysis is done on the Concur field names to determine the cost object mapping for your specific Concur system.
A journal entry per expense report is expected to be created.
Supplier line items are not supposed to be condensed.

With this default configuration, the ICS team tries to reduce the effort that is required for setting up a working configuration for setups which are close to the Best Practice set up for Concur.

SAP Integration with Concur Solutions: Alternative Reference System and Reference Key

In this blog post, I describe the enhancements that have been made for handling reference keys within SAP Integration with Concur Solutions (a.k.a. ICS, a.k.a. Native Integration), enhancements applicable for SAP S/4HANA Public Cloud, SAP S/4HANA Private Cloud 2025, and for SAP S/4HANA 2025. The enhancements impact the journal entry creation for expense reports and cash advances.

Changes affecting the Reference Key

When you look at a journal entry header, you see two fields containing the word Reference and are used to store a document identifier. The labeling differs slightly depending on the UI technology. In the Manage Journal Entry FIORI app, you have Document Reference ID and Original Reference Document.

In the transaction FB03, you have Reference and Reference Key.

For ICS, the leading field is the Original Reference Document/Reference Key. The Document Reference ID/Reference is a subset of the Reference Key.

ICS constructs the Reference Key by picking an identifier of the Concur document, the revision ID of the Concur document, and the fixed value 1. Technically, the identifier of the Concur document and the revision ID are concatenated into a 10-character field (AWREF). The fixed value is stored in a separate field. The fixed value is left out when constructing the content of the field Reference. For expense reports, ICS uses as identifier either the Report Number or Report Key. This can be configured within the Expense Report Import wizard, step Posting Settings. For Cash Advances, an artificial identifier is generated because Concur's Cash Advance ID is too long.

Starting with SAP S/4HANA Public Cloud 2508, we're offering the extension points BADI_CTE_FP_CB_AD_DETM_DOC_KEY and BADI_CTE_FP_CB_DETM_DOC_KEY.

A similar option has been introduced for SAP S/4HANA Private Cloud 2025 and SAP S/4HANA 2025.

The extension points/BAdIs allow you to change the content of the AWREF field which is constructed from an identifier of the Concur document and the Concur document's revision ID (see above). This allows you, e.g., to remove spaces, replace letters with numbers etc.

Changes affecting the Reference System

To indicate the original system of an expense report or cash advance, ICS uses by default the System Key which is assigned to the Concur connection, e.g., 1,2,3 ...

Sometimes there is a need to use a specific reference or naming convention. That's why ICS offers a configuration option to define a value for the Reference System field. The configuration option is part of the System Connection wizard.

The system key is used as the default value for the field Reference System. When choosing the button Default Logical System, the current value of the Reference System field is replaced by the logical system. But you can also manually enter any 10-character string into the field.

Note: The Reference System field will become read-only after the first successful posting of an expense report or cash advance.

SAP Integration with Concur Solutions: Improvements for Cost Object Replication

In this blog post, I describe the enhancements that have been done for the cost object replication of SAP Integration with Concur Solutions (a.k.a. ICS, a.k.a. Native Integration), enhancements delivered with SAP S/4HANA Public Cloud 2508.

Improvements for Setting Up a Cost Object Hierarchy

To support hybrid scenarios, setting up cost object hierarchies became more flexible.

Standard List Levels

Let's first look at the pre-delivered levels available for defining a hierarchy for the cost object replication. A new standard level has been made available: Controlling Area.

In total, ICS supports 6 list levels in SAP S/4HANA Public Cloud out-of-the-box.

Logical System: This list level identifies the FI entity where the cost object comes from. As many customers are connecting several FI entities to the same Concur entity, the level is required to separate the cost objects of the different FI entities.
Company Code: The company code to which the cost object belongs
Cost Object ID: The ID of a cost object
Cost Object Type: Cost objects of different types are oftentimes stored in the same list. The Cost Object Type level defines what type of ID is expected to be found on the Cost Object ID level.
Country/Region: This level determines to which country respectively region a cost object belongs
Controlling Area: This levels identifies the controlling area to which the cost object belongs.

The recommended set up is a 4-level list consisting of Logical System, Company Code, Cost Object Type, and Cost Object ID levels. This list set up combines technical requirements, i.e., the need to separate cost objects from different systems, and usability requirements. Combined with a set up where at least the values Logical System and Company Code are defaulted from an employee's master data for cost allocation on the expense report, the employee only needs to enter a bare minimum of data, i.e., the employee only needs to pick a cost object type and a cost object. In many set ups, the employee's home cost center is defaulted for cost allocation. If the employee is supposed to fully book a trip on the home cost center, no input at all is required from the employee for specifying the cost allocation.

Note: The Concur UIs for the non-admin users are usually configured to hide the level Logical System. Companies that don't allow intercompany posting scenarios can also hide the level Company Code from the non-admin users.

Customer-Specific List Levels

Starting with the S/4HANA Cloud Public Edition 2508, it is possible to create customer-specific list levels in the Cost Object Export wizards, step Cost Object Hierarchy by pressing the button Manage Additional Fields.

Press the + button to add a new level. You can enter a field name which allows you to identify the level when setting up a cost object hierarchy. The values from the columns Concur Item Code and Concur Item Name will be displayed in Concur when you need to pick a value for your customer-specific hierarchy level.

Note: Unlike for S/4HANA on-Premise respectively S/4HANA Cloud, Private Edition, it is not possible to implement a BAdI/Extension Point to create values for the customer-specific levels in dependence of a given cost object, e.g., to define for cost center 4711 that the customer-specific level should get the code ABCD and to define for cost center 4712 that the customer-specific level should get the code XYZ.

Use the customer-specific level when setting up your cost object hierarchy:

Those are the enhancements that bring more flexibility to the set up of cost object hierarchies.

Extension Point

The extension point BADI_CTE_CB_COST_OBJECT was introduced to influence the cost object replication in a programmatic way. The extension point allows you to cover, among others, the following use cases:

Change the name of a cost object to meet language requirements when the current cost object name is different than the Concur default language.
Use this extension point to exclude individual objects instead of using the Single Objects Table in the Phased Rollout option or in the Exclude from Export option for the respective cost object export.

Specifically, you can

Change the name of a cost object in the Concur list
Exclude a cost object from the export so it is no longer considered
Delete a cost object that was previously exported to the Concur system

This sixth post in my series gives an overview of user experience innovations in SAP Customer Experience and SAP Concur. For SAP Customer Experience, look at the new AI agents and the capability to build custom agents, plus AI innovations for marketeers in SAP Emarsys, and Joule and AI order summaries in SAP Sales Cloud Version 2. SAP Concur takes travel planning to the next level with the whole new travel experience, complemented by the new Joule Booking Agent enabling users to use natural language to book a trip.

AI Agents

As I explained in part 1 of this series, AI agents work in the background to give a greatly enhanced user experience. A number of powerful AI agents are available for SAP Customer Experience, via the package Joule Premium for Customer Experience. This blog post and video give a nice overview of three of them in action:

The latest UX innovations are:

Shopping Agent for the Shopping Assistant.
Digital Service Agent (via Early Adopter Care program).
Ability to create custom agents in the CX AI Toolkit.

AI Shopping Agent for the SAP Commerce Cloud Shopping Assistant

The shopping agent helps customers when visiting an online shop: they can simply use natural language to state what they are looking for, and the shopping agent will respond with suitable suggestions. Figure 1 shows an example, where the user starts out by stating that they are looking for shoes to wear for two mile long walks while wearing a suit. Two shoes are suggested, and the user asks which one is comfortable right away, since he doesn’t want a long break in period. The agent recommends one model, and the customer then asks for a recommendation for a belt to match, which the agent promptly gives him.

Digital Service Agent

The new digital service agent helps to provide your customers with a great user experience, similar to how the shopping agent is aimed primarily at your customers. It enables customers to ask questions with natural language and provides answers based on your company’s business knowledge residing in the SAP system. Hence, it is able to resolve common inquiries and issues, giving customers a good experience. Furthermore, by freeing up you sales and service team to focus on more complex inquiries, your customers will also receive a better service and hence better experience.

The digital serice agent is currently only available for select customers via the Early Adopter Care program. Figure 2 in the next section shows how these customers can select it in the AI Agent Builder.

Create Custom Agents with CX AI Toolkit

You can now create your own custom agents with the CX AI toolkit. Figure 2 shows the start screen for the AI Agent Builder, where you can select “Custom Tool” to start the wizard which takes you through the steps to create a custom agent.

SAP Emarsys

AI-Assisted Report Builder using Natural Language

You can now easily create a report using natural language to describe what you are interested in. Figure 3 shows an example of the entry screen. At the bottom you see hints on what kind of queries you can enter.

Once you have created the report, you can easily adjust it using a set of convenient filters, such as the date range as well as the list of campaigns and metrics. Watch this video to see it in action:

AI-assisted Product Finder using Natural Language (Pilot)

Pilot customers can now try out the new AI-assisted product finder, which allows users to search for product to add to marketing campaigns using natural language. Figure 4 shows an example of how to enter your search text, see more here:

SAP Sales Cloud Version 2

Joule in SAP Sales Cloud

Joule is now available in SAP Sale Cloud Verion 2, helping users get quick insights, for example about an account. As you can see in Figure 5, these insights can be charts as well as text based.

Sales Order Summary

The Sales Order Summary uses generative AI to summarize key information about the sales order, as well as including information about some changes, for example how the price compares to the original price. Figure 6 shows an example, with the insights shown on the left of the screen.

SAP Concur

The new Concur Travel experience makes it much easier to book travel involving multiple bookings, such as a flight plus hotel plus rental car. And if you just need to book one item, you can do that very easily now with the new Booking Agent powered by Joule.

New Concur Travel Experience

When travelling for a few days, one often needs to book more than one item. A typical combination is booking a flight, a hotel and a rental car. Up until now, you have had to book each item separately and take care that the dates and time match. Now, with the new Concur Travel experience, planning and booking is much easier: you can enter the start and end dates for your flight, and the new feature Match Flight Booking is applied to the hotel and car, so that dates and time match automatically.

Figures 7 to 11 show what this looks like: Figure 7 shows the start screen, where you select which items you want to include (flight, hotel, car, train). Figure 8 shows the flight view, where flight dates have been entered. Figure 9 shows the hotel search, with the default selection “Based on flight selection”, and similarly Figure 10 shows the rental car search, with pick-up and return times calculated based on the flight schedule. Figure 11 shows the finalize screen, in this case showing that the flight and hotel has been selected but the rental car is still open.

As you can see in Figure 11, another advantage of the new experience is that you get budget transparency at the trip level. Also, you have flexibility to book parts of the travel now and other parts later.

Technically it supports deep linking, which means that you can send a trip-level link to colleagues which includes all the trip parts, making it easy to coordinate trip planning when travelling with others.

Booking Agent in Concur Travel

The new Booking Agent lets you use natural language to book business travel which is compliant with company policy and budget constraints as well as taking into account your personal travel preferences.

Figure 12 shows an example where the user has simply stated “I want to book a flight from San Francisco to London on Sept 9th and back on Sept 13th”. The answer shown takes into account the user’s frequent traveler memberships, flight availability and company policies.

Activate Joule in SAP Concur - a Step-by-Step Guide

We are here with yet another release of the Joule service. You will now be able to use your SAP Concur system with Joule and have conversations naturally with your Concur system. Joule in SAP Concur can help you manage your expense-related activities, such as creating reports, editing expense reports, creating attendees, viewing expense Details, and many more.

With this release, we are also happy to introduce you to the SAP Concur Booking Agent, which will be generally available to all our SAP Concur customers. The Agent will enable users to search for and book flights directly.

In this blog, we will examine the step-by-step details of activating Joule with your SAP Concur system. We have also added some basic information, as some of our customers may be SAP Concur-only customers. We recommend reading the details below before you get started. To make this a simpler process, let us examine the process flow for activating Joule in your tenant.

First, I would like to introduce you to the commercial aspect of getting the required license. As an SAP Concur customer, you can opt for the SAP Joule BASE SKU, which is a “0$” contract with options ranging from 1 year to 3 years. To sign up for this, you can visit the link here and follow the onscreen instructions. In case of any questions, please feel free to contact your SAP AE or the CSM. During the contract process, you will be asked to select an SAP Business Technology Platform (SAP BTP) tenant where Joule needs to be contracted. If you are an SAP Concur-only customer and do not have an SAP BTP account, please select New BTP Account and proceed further.

Important Tips: (Please ensure to read them before you work on the license):

If you are an SAP Concur-only customer, without an SAP footprint
- You may have to register yourself first, follow the onscreen instructions in the SAP Store – Buy as a customer. Refer to this document for more information - Joule Base Entitlement
- If you are an and do not have a BTP Account, it will be provisioned free of cost along with Joule
- Provisioning of new BTP Accounts and Joule contracts may take less than 24 hours, at times up to 48 hours.
- If you are new to SAP BTP and would like to get familiar, you can request a session here
- If you have an existing SAP BTP account, we recommend using the existing accounts and avoiding creating a new one
- Joule requires SAP Cloud Identity Services (SAP CIS)
  - You can configure your SSO with SAP Concur with SAP CIS as IDP, or
  - You can configure your SSO with SAP Concur with SAP CIS as a proxy. In case you have an existing IDP, like MS Azure/OKTA, you can continue using it; however, you need to replicate the users in your SAP CIS. You can find more details as you read below
  - SAP Concur gives you the option to have multiple SSOs. In case you would like to try with a few users to log in via SAP CIS, you can do so. This ensures that you do not change the entire setup or impact all the users during the testing process
- If you do not have SAP Cloud Identity Services as a Concur-Only customer, you can activate up to 2 tenants (test/prod) from your SAP BTP Account free of cost. For more information, refer to the Discovery Center Mission here.
- In case you are not sure of the available SAP Cloud Identity Services for you, please validate -
Joule contracts can only be sold once to a customer. If you have the Joule Base or SAP AI Units contracts, you do not have to sign new contracts, and you are good to go ahead with the setup of Joule with SAP Concur

Second, once the Contract is signed, you will need to create an Incident and share your SAP Concur – “Entity ID” and “SAP - Customer Number” (in case you need support, please contact your AE or your CSM), the required “SAP Cloud Identity Service Tenant” for SAP Concur Integration.

- When you sign the new contract, a new CRM ID will be generated with an SAP BTP account

Third, once the Incident is addressed and processed, you will receive instructions from SAP on how to case you use MS Entra / OKTA / any other IDP services. Please ensure you have the user’s sync (replicate the users) from your IDP to SAP CIS and have completed all the steps mentioned in the above image before you start the Joule integration process.

Please check the * conditions mentioned in the Image above. Some of the processes have been detailed below to ensure you can plan the User Sync with SAP Cloud Identity Services and your IDP.

The SAP Concur Import & Export admin role should be able to follow the help portal document 315 (SAP Global User ID Importer) for the employee file upload. For more information, refer to Step 2 of this blog

Fourth, once you complete the above-mentioned prerequisites, we recommend that you plan the Joule setup from the SAP Help Portal or the details below.

Now that we have a process in place, we are ready to get started:

1. SAP Concur SSO with SAP Cloud Identity Services

Ensure your SAP Concur users are able to log in via the SAP Cloud Identity Services. (The details have been covered in the process above.)

2. Global User ID (GUID) - User Mapping in SAP Concur

The SAP Global User ID is a unique value identifier across the SAP Landscape, and this unique value is generated from the SAP Cloud Identity Services by default when a user is created. This GUID is required to be the same in your SAP Concur System for Joule to be operational for the users. In this step, we will see how to replicate the GUID from your SAP CIS to the SAP Concur system.

If you are using MS Entra Object ID and wish to continue as a GUID, you may refer to this link for the setup.

In the current release, we do this manually by copying the GUID from SAP Cloud Identity Services to SAP Concur, but the SAP product teams will soon automate this process. Let’s take a look at how to achieve this manually.

To begin, you will need the “Import/Extract Monitor" role in the SAP Concur system. Once you have this role, you can download the sample file attached to this blog post, which is in “UTF-8 format” as shown below.

We will edit the following values. In our case, we are using the Employee ID from SAP Concur, which is a common ID used in other applications.

You can follow the User export from the IAS process to get the SAP Global ID and create a flat file according to the SAP Concur 315 record type for the SAP Global ID Importer.

Note that row 1 with the value “100” is mandatory; do not modify or edit this line. Row 2 shows the required values, and row 3 gives you the samples. In most cases, it's our understanding that Concur customers are aware of this flat file process, and you can find the details of this process here: 315 (SAP Global User ID Importer).

Once the file is ready with user details to import the GUID (recommend testing it with a few users and then adding more), you can log in to your SAP Concur system and navigate to Home -> click on Tools -> and click on Import/Export Monitor -> click on the option Import, and click on “Upload”, select the file that you have created.

The monitor page is only available for users with the "Import/Extract Monitor" role.

Once you have the file uploaded, look for the option “EMPLOYEE_” and click on "Run Now". In case you do not see this option to “Run Now”, you may have to wait for the daily schedule. Once completed, you should be able to see the Success message of the Last Run Status.

Note: We do not have an option to validate this in the Concur system if the GUID is mapped to the users. However, you can check with API Access, and you may need the Concur web service license to check the GUID API access. Create a ticket in case we need to validate the GUID.

3. Integrating Joule

Scenario 1: Joule in SAP Concur - new setup

As mentioned above, for the new Joule setup in SAP Concur, you can follow the steps below.

Note: Joule with SAP Concur does not use SAP Build Work Zone services as of this release.

Only skip the following steps:

3c. Validate your System Registration in SAP BTP

9. Activate the SAP Build Work Zone - Subscriptions and Instances (foundation or standard plan)

Create the Service Key
Assign Role Collection
Enable Identity Authentication
Validate the System Formation

13. Create Navigation Service Destination (has been deprecated)

Follow all the steps apart from the ones listed above and focus on the steps below:

Next, during the Joule Booster (an automated integration process), ensure that you select the SAP Concur system (Image 43, Image 44, and Image 45). As mentioned in the blog post above, you should be able to see the Joule formation in Ready status.

This completes the setup process, and you should now be able to see the Joule icon in your SAP Concur tenant. However, we recommend following the steps Post Booster Validation below.

In case of a standalone setup of Joule with SAP Concur, you should be able to see the formation as below:

Scenario 2: You have an existing Joule setup, and a formation has been created

In this section, we will show you how to activate Joule in SAP Concur in the context of an existing Joule formation.

To integrate your system, you can navigate to your SAP BTP Formations, look for the existing formation, and click on Include system.

Note:

Please ensure you have the same SAP Cloud Identity Services used for your Unified Setup, as shown in the image below, and that the prerequisites are completed

If you are using the SAP Concur sandbox/test system for initial setup with other SAP LoB Applications, we understand that the users may be appended with “xxx@xx.uat” in your SAP Concur for Login. Please ensure you are using a common email address in all your non-prod systems, which can be authenticated by SAP IAS and can help you achieve a unified Joule experience

If you have a large list of systems, you can filter it by SAP Concur, select the system you would like to integrate with Joule, and click on Next Step.

Select both the options listed “Enable Capability Deployment” and “Enable the Joule Icon in the Integrated System” click on Review. This will deploy the concur scenarios and also activate the Joule icon in the system.

Please review the selections and click on Include.

The setup should normally take 5-8 minutes. You should be able to see a processing message and then finally enter a ready state, as shown below.

This confirms that the setup has been completed, and you should be able to see the Joule icon in your system. Please ensure you complete the next steps before you access Joule.

4. Post Integration Checks

4.1 Validate Application List

Upon Joule integration, multiple background activities run to make the integration successful. You can navigate to your SAP Cloud Identity Services to check if the following Applications are created.

4.2 Trusted Domains

We will add the SAP Concur systems to the Trusted Domain. To do this, click on Application & Resources -> select Tenant Settings -> select Customization -> click on Trusted Domain, click on Add, enter your SAP Concur URL, and click on Save.

In case of Sandbox/Test System setup, please check your SAP Concur tenant URL and add it accordingly. E.g. implementation.concursolutions.com.

Similar settings should be maintained in your SAP BTP Subaccount. Expand the Security option, click on Settings, and add the SAP Concur domain, as shown below.

4.3 SAP Concur Destination in your SAP BTP Subaccount

You should also be able to see a Concur SSO destination in your SAP BTP Subaccount, as shown below.

This completes the setup of Joule with your SAP Concur system.

5. Joule Test Scenarios with SAP Concur

You can now log in to your SAP Concur system, and you should be able to see the Joule icon, click on it to launch the Joule client as shown below.

SAP Concur Payroll Integration via ICS

The Payroll Integration allows clients to transfer payroll data to their SAP Payroll system as a method for reimbursing their employees for approved business expenses.

SAP Concur ICS (Integration with Concur Solutions) enables seamless, automated data flow between SAP Concur Expense and SAP ERP systems like SAP S/4HANA or SAP ECC.

ICS supports payroll integration by enabling expense reimbursement data to flow directly from Concur to SAP payroll systems.

Payroll Integration helps to reduce manual work by automatically transferring expense financial posting data to the SAP Payroll system.

Once an expense report is successfully posted in SAP S/4HANA or SAP ECC system, it will automatically send the report to SAP Payroll system for processing, allowing companies to reimburse out of pocket expenses and accurately assign wage types and tax related details. ‑of‑pocket expenses and accurately assign wage types and tax‑related details.

A payroll document is created only after its related expense report is fully posted, ensuring accuracy and consistency in payroll and financial data.

Systems Involved:

SAP Concur – where employees create and submit expense reports
SAP FI – validates and posts the expense (no payment yet)
SAP HCM / EC Payroll – stores expense data as HR master data
SAP Payroll– calculates tax and pays the employee via payroll

System Landscape Options:

Payroll integration via ICS works with:

SAP FI + SAP HCM in the same system
SAP FI and HCM in separate systems
SAP FI in cloud + HCM on‑premise
EC Payroll (SuccessFactors)

1. Configure Payroll Integration in SAP Concur

Step 1: Login to Concur and navigate to Administration → Expense → Group Configuration

Select the respective group and Tick (✓) Enable Financial Integration setting and then Tick (✓) Enable Payroll Integration setting.

Once these settings are enabled, concur admin can be able to see the “Payroll Integration” setting under Company → Tools → Payroll Integration

Step 2: Under “Payroll Settings” select the expense group for which payroll Integration is activated. Tick (✓) the check box to use the payroll integration to reimburse employees belong to this group. Once this setting is enabled, all expenses will be paid through payroll.

Enter the below clearing External wage type codes that are maintained in HR/HCM system

Cash Advance Clearing Wage Type: This code is used to deduct the cash advances from the employee’s payable amount.
Personal Expense Clearing Wage Type: This code is used to deduct the employee’s pay by the amount they spent for personal use on the company card.
Payroll Clearing Account Code: This code is used to clear the payroll liability after the amount has been paid to the employee.
Benefits in Kind Wage Type: This code is used to record amounts that are treated as a taxable benefit for the employee.

Fill in the Default Wage Types fields. These wage types will be applied when no expense‑specific wage type has been defined on the Wage Types tab.

Once all the required details are entered, click on “Save” button to save the payroll settings.

Step 3: Navigate to “Wage Types” tab and map the wage type codes to the expenses maintained in SAP HR/HCM. This overwrites the default wage type mapping maintained in the Payroll Settings “Default Wage Types” settings.

Once all the wage types are mapped to the expenses, click on “Save” button to save the wage type mappings.

Note: If “Enable Payroll Reimbursement” checkbox is enabled then all the expenses will be transferred to SAP Payroll even if “Transfer Amounts to Payroll?” flag is not selected in the “Wage Types” tab.

To use Payroll for reporting only, then deactivate "Enable Payroll Reimbursement" setting under “Payroll Settings” tab.

If this setting is disabled, then we need to select the expense types that should be transferred to payroll only for reporting/taxation.

Navigate to “Wage Types” tab and select the respective expense types that should be sent only for reporting/taxation. Tick (✓) "Transfer Amounts to Payroll" Check Box for selected expense types. Click on “Save” to save the Wage Types settings. These expenses will be reimbursed via Accounts Payable but not via Payroll.

Note: Taxable travel allowances always flow to payroll.

Step 4: Configure Payroll Wizard in SAP Concur ICS

Login to SAP ECC or S/4 HANA system and execute the T-Code: “CTE_SETUP”
Open “Integration Activities” and enable “Payroll” connection
Configure “Payroll” ICS wizard with required mappings according to client requirements for payroll posting

2. Expense Report Payroll Process

High Level Architecture Diagram:

Process Flow: SAP Concur → SAP ECC or SAP S/4 HANA (FI & Payroll Postings) → SAP Concur → SAP HCM → Payroll Run → Employee paid via payroll

Step 2.1: SAP Concur – Expense Report Process (Top Blue Box from above process diagram)

Employee creates and submits an expense report in SAP Concur (E.g., Breakfast, Taxi, hotel)
Review & fully approve the expense report by respective approvers & Processors.
SAP Concur sends all the fully approved expense reports which are in payment status “Processing Payment” to SAP ECC or SAP S/4 HANA (This is mandatory, even for payroll reimbursement)

Step 2.2: SAP Concur Expense and Payroll Posting in SAP ECC or SAP S/4 HANA via ICS (Yellow Box from above process diagram)

SAP ECC or SAP S/4 HANA automatically imports Expense reports into ICS wizard under Financial Postings → Concur Documents based on the scheduled import job.
SAP ICS validates the imported reports and verifies the associated cost objects, G/L accounts, and company codes.
Once all the expense data is processed without any errors, then expense documents are posted to SAP ECC or SAP S/4 HANA (on Payroll Clearing Account) successfully.
For Out-of-Pocket‑of‑Pocket expenses, SAP ECC or SAP S/4HANA doesn’t issue a direct payment to the employee or vendor. Instead, it posts the amount to a Payroll Clearing GL account which is maintained in “Payroll Settings” in SAP Concur, which allows the payroll team to reimburse the employee through their regular salary process.
SAP ICS sends success or failure status back to Concur
- If Expense posting is failed → process ends here and employee/processor needs to correct and resubmit expense report in Concur
- If Expense Posting is successful → Payroll process will continue

Important rule: No FI posting = No Payroll Posting

Once the FI posting is successful, SAP ECC or SAP S/4 HANA automatically imports successfully posted expense reports into Payroll ICS wizard for payroll posting based on the scheduled import job.

Step 2.3: Transfer of expense data to HCM via Concur

Once FI and Payroll posting is successful, Concur automatically triggers the HCM and sends the expense data from Concur to SAP HCM
Below details are transferred to HCM:
Employee ID
Amount
Expense types
Mapped wage types

Step 2.4: SAP HCM Master Data Setup for Concur Payroll Postings (Green Box from above process diagram)

Import Reports

SAP HCM receives payroll-relevant expense data

Create Info Type 0579

Data is written into Info Type 0579
Info Type 0579 = External Wage Type Components

Each expense line item becomes:

A wage type
With an amount
Assigned to the employee
Stored temporarily for payroll

Key point: Info Type 0579 is a staging area, but no employee payment yet

Step 2.5: Payroll Process

Execute Payroll

Payroll program run for the payroll period and calculates the amount to be reimbursed for the employee after the necessary deductions. Employees can be able to see net reimbursement and deductions in their salary pay slip.

Note: Payment is made via Standard payroll bank transfer

Step 2.6: Concur Audit Trail update

Once the payroll posting is successful, then the status of the report will be automatically updated in Audit trail in Concur.

To view the Audit trail, select the respective report and go to → Details → Audit Trail to track the status in the expense report.

3. Monitor Concur Payroll Posting Document Failures

Login to Concur and navigate to Company→ Tools → Payroll Integration → Posting failures tab. Under this tab, concur admin can be able to see all the failure posting documents.

Concur Admins can search for failed postings using the Report ID, Report Name, Employee ID, First Name, or Last Name.

By selecting a checkbox next to an expense report, admin can retry the payroll transfer by clicking on “Retry Payroll Transfer button” at the bottom of the screen.

4. Monitor Concur Payroll Document status

Under “Document Status” tab, admin can be able to search and check the status of the expense reports that are in “Success/Acknowledged/Ready”

A: Only out-of-pocket (cash) expenses—those paid personally by the employee—are sent to payroll for reimbursement.
