We have all come across different scenarios while doing our Concur Implementations, from straightforward implementation to complex ones involving multiple integrations. In this blog I will like to explain one such scenario where we are bringing a new company into the existing Concur Instance. They will be roommates and will have their own individual policies and standards.</P><P><STRONG>Introduction to the use case</STRONG></P><P>So here's how it goes, there is a Company A which is using a Global Concur Instance for all its companies throughout the world. Now Company B which is basically a sister company having its own Concur instance decides to come into the existing Global Instance of Company A. Now the thing we have to remember here is, even though these are sister companies, they don't share any system with each other from HR system to ERP its all different. So this where the complexity lies in and where we need to put on our design cap and think before we start.</P><P><STRONG>Steps to Follow:</STRONG></P><P><STRONG>Step 1: Custom Fields Audit:</STRONG></P><P>Before we dive into the Requirement gathering phase, we have to do one audit of our existing instance which company A is using. We need to check how many custom fields are available, how many org fields are available, how many fields with the required data types are available and all that. Trust me this is the most difficult part of it all, there will be multiple places where we need to share the custom fields between the two instances.</P><P><STRONG>Step 2: Primary Requirements:</STRONG></P><P>Let start from the basics of the things that we need information about for this Company B. So your ORG structure is the most important stuff based on which you will get to know the countries in scope and how many levels of connected list you need to design. Since our Company A is using Org unit 1 to 3, we advised to have the org structure limited to the same 3 level format so that we can use Org unit 4 to 6 for country, Company and cost centers. One thing we need to communicate in the beginning to stake holders from Company B is we cannot use the authorized approver workflow as in feature Hierarchy, only one set of org units can be used for workflow. </P><P>If you see below, the feature hierarchy can contain only one set of custom fields for authorized approver workflow, so it is important to communicate this at the start.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="HarishRaghuraman_2-1754892341629.png" style="width: 400px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/299194iA8034F311CD696F7/image-size/medium?v=v2&px=400" role="button" title="HarishRaghuraman_2-1754892341629.png" alt="HarishRaghuraman_2-1754892341629.png" /></span></P><P>Please see the below screenshot where we have defined the connected list logic for the two companies using different set of custom fields.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="HarishRaghuraman_0-1754892076289.png" style="width: 400px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/299191i476B9AC66D83D01A/image-size/medium?v=v2&px=400" role="button" title="HarishRaghuraman_0-1754892076289.png" alt="HarishRaghuraman_0-1754892076289.png" /></span></P><P>We need to set up by creating the accounting hierarchy and create a new ledger if they are planning to use a different ERP system. </P><P>Below you will see the accounting hierarchy set up for various companies based on their ledger preferences.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="HarishRaghuraman_1-1754892214067.png" style="width: 400px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/299192i745A20BC7A738AAD/image-size/medium?v=v2&px=400" role="button" title="HarishRaghuraman_1-1754892214067.png" alt="HarishRaghuraman_1-1754892214067.png" /></span></P><P>So once we get all the requirements locked, we will start as usual by creating groups, policy, forms and all the primary and secondary configurations as usual. The main thing to keep in mind during configuration of forms and fields is to make sure we are not disturbing the existing fields used for company A.</P><P><STRONG>Important Considerations:</STRONG></P><P>Another thing to keep in mind is during the Tax Configuration, this might be an issue if there a country in scope for Company B is already available in the system for Company A. The problem we might encounter is for example consider a country say Australia. For Company A, Airfare expense is configured to have a tax form with 3 tax rates, and for Company B same expense type has a standard tax rate for 10%. So what will happen in this case is even if try to exclude the company A while configuring the tax for Company B, since Tax is a country-based configuration, the tax form which is configured for Company A will be visible for Company B too even though it is not supposed to be.</P><P>Below you will see the screenshot where a single country can be configured with different reclaim codes based on their ERP .</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="HarishRaghuraman_3-1754892515011.png" style="width: 400px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/299195i742DF9B117BB8C6A/image-size/medium?v=v2&px=400" role="button" title="HarishRaghuraman_3-1754892515011.png" alt="HarishRaghuraman_3-1754892515011.png" /></span></P><P> </P><P>So, the only solution to this is to create new expense types whenever there are countries we are bringing into the system which are already available in the instance.</P><P><STRONG>Step 3: Integrations:</STRONG></P><P>Once this is all done and all the other configurations completed, we need to work with the HR system for the company B for the integration. We need to provide all the required custom fields to the HR system's technical team so that mapping is completed and we get the daily import of 305 and 350 data. </P><P>Here in the below screenshot, you can see how the Employee load with the 305 and 350 files are sent over to concur from two different HR systems, one is UKG and the other is Workday based on the respective HR systems the individual company uses.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="HarishRaghuraman_4-1754892782373.png" style="width: 400px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/299198i03E74BBB1961B013/image-size/medium?v=v2&px=400" role="button" title="HarishRaghuraman_4-1754892782373.png" alt="HarishRaghuraman_4-1754892782373.png" /></span></P><P>Similar way the payment extract job needs to be setup for which we need to raise a ticket with Concur and provide all the group names for the company B which we have configured. While this is happening, we need to connect with the ERP team to map our SAE extract by providing the list of custom fields which are to be mapped in the ERP system.</P><P>Now we need to do multiple rounds of testing for company B, so that we make sure all the account codes, workflow, audit rules are working well and also need to test the posting into the ERP system. This Best Practice configuration was already indicated in the different wizards, e.g., when setting up the export of the first cost object type, a 4-level cost object hierarchy is defaulted. We've changed the configuration approach slightly: When you complete the <EM>System Connection</EM> wizard for the first time, a default configuration is set up for the integration activities you've selected for your system. So, in an ideal case, you don't have to go into the different wizards to set up a configuration. Connection set up and ICS configuration can be finished within 2 min.</SPAN></P><P><SPAN>There is no defaulting for</SPAN></P><UL><LI><SPAN>Budget Integration (Travel Request, Expense Report Obligation)<BR />Note: This option is only visible only in a system where Public Sector functionality has been activated.</SPAN></LI><LI><SPAN>Invoice Integration (Vendor, Invoice)<BR />Note: This option is not offered for the <EM>SAP S/4HANA Public Cloud.</EM></SPAN></LI></UL><H3 id="toc-hId-1865249192"><SPAN>How does the default configuration look?</SPAN></H3><P><SPAN>I won't go into the details of every single wizard. But I want to give you an idea how the configuration looks.</SPAN></P><H4 id="toc-hId-1797818406"><SPAN><STRONG>Applicable for all integration activities</STRONG></SPAN></H4><P><SPAN>For the set up, we distinguish between a productive system and a non-productive system. For productive systems, batch jobs are scheduled for replication of master data and import of transactional data. For non-productive systems, manual export/import will be configured.</SPAN></P><H4 id="toc-hId-1601304901"><STRONG>Applicable for cost object replication</STRONG></H4><UL class="lia-list-style-type-square"><LI>Cost object replication is set up for <EM>Export Without Restrictions</EM>. <EM>Phased Roll-Out</EM> isn't active.</LI><LI>A name analysis of the available Concur lists is done to determine which list might be intended to store the cost objects. The <EM>Document Reference ID</EM>/<EM>Reference</EM> is a subset of the <EM>Reference Key</EM>. </P><P>ICS constructs the <I>Reference Key</I> by picking an identifier of the Concur document, the revision ID of the Concur document, and the fixed value 1. Technically, the identifier of the Concur document and the revision ID are concatenated into a 10-character field (<EM>AWREF</EM>). The fixed value is stored in a separate field. The fixed value is left out when constructing the content of the field <EM>Reference</EM>. For expense reports, ICS uses as identifier either the <EM>Report Number</EM> or <EM>Report Key</EM>. This can be configured within the <EM>Expense Report Import</EM> wizard, step <EM>Posting Settings</EM>. Native Integration), enhancements delivered with <EM>SAP S/4HANA Public Cloud 2508</EM>.</P><H1 id="toc-hId-1607083777"> </H1><H1 id="toc-hId-1410570272">Improvements for Setting Up a Cost Object Hierarchy</H1><P>To support hybrid scenarios, setting up cost object hierarchies became more flexible.</P><H2 id="toc-hId-1343139486"> </H2><H2 id="toc-hId-1146625981"><STRONG>Standard List Levels</STRONG></H2><P>Let's first look at the pre-delivered levels available for defining a hierarchy for the cost object replication. A new standard level has been made available: <EM>Controlling Area</EM>. </P><P>In total, ICS supports 6 list levels in <EM>SAP S/4HANA Public Cloud </EM>out-of-the-box.</P><UL class="lia-list-style-type-circle"><LI><EM>Logical System</EM>: This list level identifies the FI entity where the cost object comes from. As many customers are connecting several FI entities to the same Concur entity, the level is required to separate the cost objects of the different FI entities.</LI><LI><EM>Company Code</EM>: The company code to which the cost object belongs</LI><LI><EM>Cost Object ID</EM>: The ID of a cost object </LI><LI><EM>Cost Object Type</EM>: Cost objects of different types are oftentimes stored in the same list. The <EM>Cost Object Type</EM> level defines what type of ID is expected to be found on the <EM>Cost Object ID</EM> level.</LI><LI><EM>Country/Region</EM>: This level determines to which country respectively region a cost object belongs</LI><LI><EM>Controlling Area</EM>: This levels identifies the controlling area to which the cost object belongs. </LI></UL><P>The recommended set up is a 4-level list consisting of <EM>Logical System</EM>, <EM>Company Code</EM>, <EM>Cost Object Type</EM>, and <EM>Cost Object ID</EM> levels. This list set up combines technical requirements, i.e., the need to separate cost objects from different systems, and usability requirements. Combined with a set up where at least the values <EM>Logical System</EM> and <EM>Company Code</EM> are defaulted from an employee's master data for cost allocation on the expense report, the employee only needs to enter a bare minimum of data, i.e., the employee only needs to pick a cost object type and a cost object. In many set ups, the employee's home cost center is defaulted for cost allocation. If the employee is supposed to fully book a trip on the home cost center, no input at all is required from the employee for specifying the cost allocation.</P><P>Note: The Concur UIs for the non-admin users are usually configured to hide the level <EM>Logical System</EM>. Companies that don't allow intercompany posting scenarios can also hide the level <EM>Company Code</EM> from the non-admin users.</P><H2 id="toc-hId-950112476"> </H2><H2 id="toc-hId-753598971"><STRONG>Customer-Specific List Levels</STRONG></H2><P>Starting with the <EM>S/4HANA Cloud Public Edition 2508</EM>, it is possible to create customer-specific list levels in the <EM>Cost Object Export</EM> wizards, step <EM>Cost Object Hierarchy</EM> by pressing the button <EM>Manage Additional Fields</EM>. </P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="andyschaefer_0-1754314431481.png" style="width: 999px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/296097i9AE06447CDB2E3DA/image-size/large?v=v2&px=999" role="button" title="andyschaefer_0-1754314431481.png" alt="andyschaefer_0-1754314431481.png" /></span></P><P>Press the <EM>+</EM> button to add a new level. You can enter a field name which allows you to identify the level when setting up a cost object hierarchy. A number of powerful AI agents are available for SAP Customer Experience, via the package <A href="https://discovery-center.cloud.sap/ai-catalog/?packages=cc485586-3c5c-427b-a3d1-12b0bb138229&aiType=ai_agent_package" target="_blank" rel="noopener nofollow noreferrer">Joule Premium for Customer Experience</A>. Figure 1 shows an example, where the user starts out by stating that they are looking for shoes to wear for two mile long walks while wearing a suit. Two shoes are suggested, and the user asks which one is comfortable right away, since he doesn’t want a long break in period. The agent recommends one model, and the customer then asks for a recommendation for a belt to match, which the agent promptly gives him.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="Figure 1: Shopping Agent for the Shopping Assistant from SAP Commerce Cloud. It enables customers to ask questions with natural language and provides answers based on your company’s business knowledge residing in the SAP system. Hence, it is able to resolve common inquiries and issues, giving customers a good experience. Furthermore, by freeing up you sales and service team to focus on more complex inquiries, your customers will also receive a better service and hence better experience.</P><P>The digital serice agent is currently only available for select customers via the Early Adopter Care program. And if you just need to book one item, you can do that very easily now with the new Booking Agent powered by Joule.</P><H2 id="toc-hId--468662886">New Concur Travel Experience</H2><P>When travelling for a few days, one often needs to book more than one item. A typical combination is booking a flight, a hotel and a rental car. Up until now, you have had to book each item separately and take care that the dates and time match. Now, with the new Concur Travel experience, planning and booking is much easier: you can enter the start and end dates for your flight, and the new feature <EM>Match Flight Booking</EM> is applied to the hotel and car, so that dates and time match automatically.</P><P>Figures 7 to 11 show what this looks like: Figure 7 shows the start screen, where you select which items you want to include (flight, hotel, car, train). Figure 8 shows the flight view, where flight dates have been entered. Figure 9 shows the hotel search, with the default selection “Based on flight selection”, and similarly Figure 10 shows the rental car search, with pick-up and return times calculated based on the flight schedule. Figure 11 shows the finalize screen, in this case showing that the flight and hotel has been selected but the rental car is still open.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-inline" image-alt="Figure 7: New Concur Travel experience start screen. (The details have been covered in the process above.)</P><P><STRONG>2. Global User ID (GUID) - User Mapping in SAP Concur</STRONG></P><P>The SAP Global User ID is a unique value identifier across the SAP Landscape, and this unique value is generated from the SAP Cloud Identity Services by default when a user is created. This GUID is required to be the same in your SAP Concur System for Joule to be operational for the users. In this step, we will see how to replicate the GUID from your SAP CIS to the SAP Concur system.</P><P>Note:</P><UL><LI>For more information on GUID and how to manage it, see the link <A href="https://help.sap.com/docs/cloud-identity/system-integration-guide/global-user-id-in-integration-scenarios" target="_blank" rel="noopener noreferrer">here</A>.</LI><LI>If you are using MS Entra Object ID and wish to continue as a GUID, you may refer to this <A href="https://help.sap.com/docs/cloud-identity/system-integration-guide/step-by-step-example-for-setting-up-global-user-id" target="_blank" rel="noopener noreferrer">link</A> for the setup.</LI></UL><P>In the current release, we do this manually by copying the GUID from SAP Cloud Identity Services to SAP Concur, but the SAP product teams will soon automate this process. Let’s take a look at how to achieve this manually.</P><P>To begin, you will need the “<STRONG>Import/Extract Monitor</STRONG>" role in the SAP Concur system. Row 2 shows the required values, and row 3 gives you the samples. In most cases, it's our understanding that Concur customers are aware of this flat file process, and you can find the details of this process here:</SPAN> <A href="https://help.sap.com/docs/SAP_CONCUR/07e27aa97f4a4bf6b0de7810e7efd6f0/f41e73bdf6704ba0996d490f47995e88.html" target="_blank" rel="noopener noreferrer">315 (SAP Global User ID Importer)</A>.</P><P>Once the file is ready with user details to import the GUID (recommend testing it with a few users and then adding more), you can log in to your SAP Concur system and navigate to <STRONG>Home</STRONG> -> click on <STRONG>Tools</STRONG> -> and click on <STRONG>Import/Export Monitor</STRONG> -> click on the option <STRONG>Import</STRONG>, and click on “<STRONG>Upload</STRONG>”, select the file that you have created.</P><P>The monitor page is only available for users with the "Import/Extract Monitor" role.</P><P><span class="lia-inline-image-display-wrapper lia-image-align-center" image-alt="concur3.png" style="width: 999px;"><img src="https://community.sap.com/t5/image/serverpage/image-id/333137i22DA24E7F601E861/image-size/large?v=v2&px=999" role="button" title="concur3.png" alt="concur3.png" /></span></P><P class="lia-align-center" style="text-align: center;">Image 5</P><P>Once you have the file uploaded, look for the option “EMPLOYEE_” and click on "<STRONG>Run Now</STRONG>".
