NOTICE OF CONTINUOUS OPEN EXAMINATION FOR:

EDUCATIONAL PROGRAMS SECRETARY

FULL TIME MONTHLY SALARY RANGE: (A-1-3) - $2,193.57-$2,666.28 (5 Steps)

Undesignated fringe benefit allotment of $463.38/month and dental coverage, life insurance, and membership in the California Public Employees’ Retirement System (CalPERS).

DATE OF EXAMINATION: Only the top qualified applicants will be invited to participate in the examination process. Those candidates will be notified by mail of the date, time, and place of the examination.

THE POSITION: An individual in this position performs a wide variety of responsible clerical and record keeping activities for the educational programs operated by the Alameda County Office of Education.

TYPICAL DUTIES: Researches, compiles, prepares, proofs, and audits data for daily student attendance reports. Prepares semi-annual and annual state reports. Maintains files for records, reports, and related student information. Prepares, logs, and monitors student movement files. Reviews attendance registers to verify students recently enrolled, moved, or released have been noted. Gathers, reviews, verifies, finalizes student records and test scores in preparation for transcripts. Types and distributes transcripts. Orients substitutes concerning lesson plans, keys, supplies, facilities, and procedures. Calls and schedules substitute teachers according to scheduled absences. Prepares substitute summary reports, weekly staff attendance reports and substitute responses. Compiles and summarizes staff attendance data and prepares time cards for regular and substitute staff. Verifies accuracy of reports. May receive, sign for and distribute payroll warrants to employees. Tracks expenditures, maintains ledger, and tabulates data for budget reports. Prepares data and performs data entry on computer according to established guidelines. Performs general clerical tasks including maintaining files, screening calls, taking messages, giving information, following through on requests/complaints, composing and typing correspondence, preparing staff meeting minutes, ordering supplies and processing reimbursement claims, issuing and collecting security keys, and processing mail. May monitor inventory of equipment and supplies.

QUALIFICATIONS: High school graduate or equivalent, including or supplemented by courses in office practices; keyboarding 50 words per minute*; entry level computer skills*; two years of increasingly responsible clerical experience; a willingness to work with students in a security facility and/or a willingness to work with staff in multiple locations. Must be able to travel from one location to another based on assignment. Bilingual/biliterate in Spanish or Cantonese highly desirable for current vacant positions.

General Fitness Interview Weighted 50%

*Official verification within the last six months of your keyboarding (typing) skills and proficiency with word processing/computer programs should be submitted with your application. Failure to submit verification prior to the general fitness interview will be considered a withdrawal from the examination process.
