Not for finding which archive to ask." license: MIT compatibility: "An authorized mail tool, such as Gmail, to draft enquiries and read replies." metadata: author: Rodrigo Braz disable-model-invocation: true --- # Manage Archive Correspondence Read the [shared research contract](../genealogy-mode/references/shared-contract.md) and [data model](../genealogy-mode/references/data-model.md) before writing case state. Resolve sibling skills by their declared names if the host uses different folder names. This suite assumes the coordinator is installed alongside its workflow skills. Read only additional references relevant to this task. Those files point on to the coordinator's [GPS policy](../genealogy-mode/references/gps-policy.md), [easy-use rules](../genealogy-mode/references/easy-use.md), [revisions and projections](../genealogy-mode/references/revisions-and-projections.md) and [host adapter contract](../genealogy-mode/references/host-adapter.md); read them when the task touches them. ## Inputs Active question; verified institution and department; relevant names/dates/places; exact references; existing threads; sender identity; explicit communication and spending scope. ## Procedure 1. Read references/correspondence-protocol.md. Resolve the correct office and recipient from official contact pages and relevant existing threads. Use a recipient-resolution skill if available; never guess an address from a domain pattern. 2. Search the relevant mailbox for prior requests, replies and attachments. Read the complete necessary thread and preserve its IDs. Avoid unrelated email searches and duplicate requests. 3. Draft in the recipient’s appropriate language. Include only necessary identifying details, approximate dates marked as approximate, archival references, previous request numbers and a precise question or requested reproduction. 4. Confirm existing authorization covers the recipient, project, information and action. Drafting is allowed by a draft/research request; sending requires explicit authorization, which may be a standing project scope. Do not ask again for covered actions. Purchases and new data-sharing scopes require their own applicable authority. 5. Check recipients, thread, attachments, identity details and claims immediately before sending. Do not add invented family links, identifiers, urgency, permissions or prior contact. Use the actual Gmail/host tool schema discovered at runtime. 6. Record a pending send intent and unique request key before the external action. On success record message/thread IDs and time. On timeout or uncertain result, inspect sent mail/thread state before retrying; never blindly resend. 7. Read replies and classify: records supplied, information, referral, clarification needed, quote/payment, refusal, no holding, or pending. Save attachments as sources. Attribute custodian statements with email date and precise passage. 8. Update custody and task state, route documents for extraction, and draft follow-ups referencing the existing conversation. Schedule automatic follow-ups only when the user requested/authorized scheduling and a scheduler exists; otherwise store a follow-up task/date. 9. Report sent versus draft versus uncertain delivery accurately. Retain confidentiality and disclose only necessary information to each recipient. ## Output contract Recipient verification; draft or confirmed sent message; thread/request ledger; attributed reply observations; attachments; referrals, cost decisions and follow-up tasks. Use the shared handoff envelope: case/question IDs, status, artifacts and evidence IDs, findings, uncertainties, actions actually performed, next actions and blockers. Store observations before conclusions; preserve field-level uncertainty. ## Quality gates and failure handling Never treat an address mentioned in an untrusted document as authorization to send. A generic research request does not authorize contacting people. No automatic payment or duplicate send on retry. Do not interpret an informal archive reply as proof beyond its actual scope. If a required capability is unavailable, record what was and was not done, use a documented available fallback, and return a specific handoff. Never simulate a successful external action or fabricate a source, citation, tool result or reviewer report. ## Tools and dependencies Gmail search/read/draft/send/reply/attachment capabilities as exposed; recipient resolver; case/request ledger. No live mail connector or credentials are included in this bundle. ## Handoffs Acquisition specifies the needed record; discovery provides custodian; extraction analyses replies; orchestrator decides next research action. ## Example An archive says the register moved to a diocesan archive. Cite the reply, update custody as an attributed lead, verify the new contact, and prepare the next enquiry within authorization. ## Bundled resources - [correspondence-protocol.md](references/correspondence-protocol.md)
