Capture action items from calls

Reads the meeting's own live captions (you must turn captions on in the call) and asks your configured AI provider to extract action items when the call ends. No audio or video is ever recorded.

Works in the browser only. Google Meet, plus the Zoom and Teams web clients. Meetings held in the Zoom or Teams desktop apps cannot be captured — no extension can read a native app.

This reads what other people say. Make sure that's appropriate for your calls and your workplace policy. PingMeet shows an on-screen indicator while active, and deletes the transcript as soon as the action items are generated. Requires your own AI API key below.

Create a new project (or select existing)
Go to "APIs & Services" → "Library"
Search and enable "Google Calendar API"
Go to "APIs & Services" → "Credentials"
Click "Create Credentials" → "OAuth client ID"
Select "Web application" as type
Add authorized redirect URI (shown in settings above)
Copy the Client ID
Paste it in the Google Calendar section above and click Connect

Your Client ID is stored locally in your browser. Each user needs their own credentials.

Option 2: API Integration (Recommended for full details)

Step 1: Create Azure App Registration

Go to Azure App Registrations
Click "New registration"
Name: PingMeet (or any name you prefer)
Supported account types: "Accounts in any organizational directory and personal Microsoft accounts"
Redirect URI:
- Platform: Single-page application (SPA) - NOT Web application
- URI: Copy from settings above (starts with https://)
Click "Register"

Step 2: Configure API Permissions

Go to "API permissions" tab
Click "Add a permission"
Select "Microsoft Graph" → "Delegated permissions"
Search for and add: Calendars.ReadWrite
Click "Add permissions"
Important: Click "Grant admin consent for [Your Directory]" button

Step 3: Configure Authentication

Go to "Authentication" tab
Under "Implicit grant and hybrid flows", check both:
- ✓ Access tokens (used for implicit flows)
- ✓ ID tokens (used for implicit and hybrid flows)
Click "Save" at the top

Step 4: Copy Application ID and Connect

Go to "Overview" tab
Copy the "Application (client) ID" (GUID format)
Paste it in the Outlook Calendar section above
Click "Connect" button
Sign in with your Microsoft account when prompted
Grant permissions when asked

Troubleshooting: If connection fails with "No access token received", ensure you selected SPA platform (not Web), granted admin consent, and enabled Access/ID tokens in Authentication settings.

Notification Settings

Alert Time: How many minutes before the meeting you want to be notified.

Play Sound: Plays an audio alert when notification appears.

Show Popup: Opens a countdown window with meeting details and join button.

Auto-open: Automatically opens the meeting link when reminder shows.

Voice Reminder: Speaks the meeting name and time aloud using text-to-speech.

Daily Summary: Shows all your meetings for the day at 10 AM.

Understanding Icons

Event List Icons:

! = Scheduling conflict with another meeting
G = Event from Google Calendar
O = Event from Outlook Calendar

Quick Create:

Add meeting link = Automatically adds a Google Meet or Microsoft Teams video call link to the event when created

AI Insights:

Warning = Potential issue (back-to-back meetings, overloaded schedule)
Suggestion = Actionable recommendation for improvement
Info = General observation about your schedule

Action Items from Meetings

PingMeet can read the captions a meeting already shows on screen and turn them into action items when the call ends.

Setting it up

Add an AI API key in the AI section above — the feature needs one to work
Turn on "Capture captions for action items"
Join a meeting in your browser and turn captions on in the call
Approve capture when PingMeet asks — it asks once per meeting

Turning the setting on is not enough on its own — each meeting is approved separately. To stop being asked, set "Ask before capturing" to "Capture every meeting automatically" in Settings, or tick "Don't ask again" on the prompt. You can switch back to being asked in Settings whenever you like.

Turning captions on is the step people miss. No captions on screen means there is nothing to read, and you will get an empty recap.

Where the action items appear

In the "Action Items" list on the main popup screen, newest first
Tick items off as you do them; ticks are remembered
"Copy" puts the recap on your clipboard as Markdown

When they are generated

When you close or leave the meeting tab
Shortly after the meeting's scheduled end, if you leave the tab open — so a call that runs over is not cut short
If you navigate away and come back within about 2 minutes, capture simply continues — looking something up mid-call does not end it
Anything captured but not yet processed shows under "Captured, not yet processed", with a Generate button

Supported meetings

Google Meet, Zoom and Microsoft Teams — in the browser
The Zoom and Teams desktop apps cannot be captured. No browser extension can see inside them. Join in the browser if you want action items.

Privacy

Off by default, and every meeting is approved separately
A visible indicator with a Stop button appears while capture is active
Caption text is deleted as soon as the action items exist
Caption text is sent to the AI provider you configured, using your own key — see the Privacy Policy for exactly what leaves your browser

Your Data & Deleting It

Everything stays in your browser. There is no PingMeet server holding your meetings.

Automatic deletion

Action items, recaps, duration history and cached events are deleted after 30 days by default. Change it to 7, 30, 90 days or "never" above.
Caption transcripts are deleted as soon as action items are generated, regardless of that setting. A leftover transcript from a browser crash is cleaned up within 6 hours.

Deleting it yourself

Delete all stored transcripts now — drops any caption text buffered right now
Delete all meeting data now — removes action items, recaps, transcripts, duration history and cached events immediately. It also stops any capture in progress. Your calendar connection and preferences are kept, so you don't have to set things up again.

Troubleshooting

No events showing?

Make sure Google Calendar or Outlook is open in a tab
Refresh the calendar page
Check if you have events in the next 24 hours

Notifications not working?

Check browser notification permissions
Make sure "Show Popup" is enabled above
Try reloading the extension

Meeting link not detected?

Ensure the meeting has a video link (Zoom, Meet, Teams)
Check if the link is in the event description or location

Join button missing or not opening?

The join button only appears for links the browser can open. A dial-in-only meeting has no joinable link, so no button is shown.
Declined meetings don't show a join button — that's deliberate.
If the meeting is dial-in only, the phone number is in the event details in your calendar.

No action items after a call?

Captions must be turned on inside the meeting — that's the usual cause
Check you approved capture for that meeting
An AI API key is required; without one, capture never starts
Zoom and Teams desktop apps can't be captured — join in the browser
