Data Storage

All data is stored locally in your browser using Chrome's Storage API. This includes:

• Your calendar connection settings
• OAuth tokens for calendar access
• Reminder preferences
• Meeting duration statistics
• AI provider configuration (if enabled)
• Action items and recaps from meetings you chose to capture (if enabled)

We do not have servers that store your data. When you uninstall the extension, all data is automatically deleted.

Automatic deletion

• Caption transcripts are deleted as soon as action items are generated. If the browser closes mid-call, any leftover transcript is deleted within 6 hours. This happens regardless of your retention setting — raw conversation text is never kept long-term.
• Action items, recaps, duration history and cached events are deleted after 30 days by default. You can change this to 7, 30 or 90 days, or to “never”, in Settings.
• Delete all meeting data now in Settings removes all of the above immediately, stops any capture in progress, and revokes standing capture consent. Your calendar connection and preferences are kept, so you don't have to set the extension up again.

Third-Party Services

PingMeet connects to the following services only when you explicitly connect your calendars:

• Google Calendar API - To fetch your Google Calendar events
• Microsoft Graph API - To fetch your Outlook Calendar events
• AI Providers (Optional) - OpenAI, Anthropic, Google AI, or a custom endpoint you specify. Only used if you configure an API key. Used for two separate features: meeting insights (titles and times only) and action items (which send caption text — see below).

Your API key goes directly from your browser to the provider you chose. It never passes through us, because there is no “us” in the request path — no PingMeet server is involved.

What We DON'T Do

• We don't sell your data
• We don't share your data with third parties (except AI providers if you opt-in)
• We don't track your browsing activity
• We don't show advertisements
• We don't collect analytics or telemetry
• We don't access your microphone, camera or audio, and we don't record meetings — the action items feature reads only the captions already shown on screen
• We don't keep caption text after action items have been generated

AI Insights (Optional Feature)

If you choose to enable AI-powered meeting insights:

• Your meeting titles and times may be sent to your chosen AI provider
• You provide your own API key - we don't have access to it
• This feature is completely optional and disabled by default
• You can remove your API key at any time to disable this feature

Meeting Action Items (Optional Feature)

When enabled and approved, PingMeet reads the captions the meeting itself is already displaying on Google Meet, Zoom (web) or Microsoft Teams (web), and uses them to extract action items when the call ends.

What this feature does

• It reads caption text that is already on screen. It does not access your microphone, camera, or audio, and it does not record the meeting. If captions are off, there is nothing to read and nothing is captured.
• Captions are held in local browser storage only while the call is running, and are deleted as soon as the action items are generated.
• To produce the action items, the caption text is sent to the AI provider you configured, using your own API key. This is conversation content, not just meeting titles — please make sure that is acceptable for your meetings and consistent with your employer's policy. That provider's own privacy policy and data retention terms then apply to that text.
• Only the resulting action items, decisions and short summary are kept afterwards, subject to the retention window above.

Your controls

• The feature is disabled by default and requires an AI API key to work at all.
• Each meeting asks for approval first. You can decline with Not now, or opt into capture every meeting if you prefer not to be asked.
• You can switch back to being asked at any time — see “Ask before capturing” in Settings. Withdrawing that blanket permission also stops any call that was being captured under it, while leaving meetings you approved individually running.
• While capture is active, a visible indicator appears in the meeting tab, with a Stop button. Stopping revokes approval for that meeting.
• Turning the setting off, or using Delete all meeting data now, stops any capture already in progress.

Other people in the meeting

Other participants are not notified by PingMeet that you are extracting action items. Recording and note-taking rules differ by jurisdiction, employer, and platform. You are responsible for having whatever consent or disclosure your situation requires.

What is not supported

The desktop apps for Zoom and Teams cannot be captured — a browser extension has no visibility into them, and no extension can provide this. Only meetings you join in the browser are eligible.

Your Rights

You have full control over your data:

• Access: All your data is visible in the extension
• Delete: Use Delete all meeting data now in Settings for an immediate purge, set a retention window of 7/30/90 days, or uninstall to remove everything. Transcripts also have their own Delete all stored transcripts now button.
• Withdraw consent: Turn off caption capture at any time, or press Stop on the indicator inside the meeting
• Portability: Export your meeting reports anytime, and copy any recap's action items as Markdown

Changes to This Policy

We may update this privacy policy from time to time. Any changes will be reflected in the "Last updated" date above.
